Whilst we’ve covered the general gist of stock counts, what we have not covered, are partial stock counts which happen more than just once a year.

A full stock count is something you normally do once a year. Given your business type and systems you may decide it’s best to do them more often, but as it is, it’s mostly done just once a year. However, there’s also an option to do just partial stock counts for specific areas, specific types of goods and so on. Either you do them on top of the full stock counts or you only do the partial ones, depends on the level of planning and detail you put into the partial stock counts.

Essentially those partial counts take place on different times and as such, stock counts happen on regular basis during a reporting year. The stock counts have to include all the goods over the reporting year; that is all the items need to be counted at least once a year. For areas which are prone to have more mistakes, i.e. larger quantities, more transactions etc. should be counted more often than those that only move once a year for an example. The assessment which goods and when should be counted, should be done based on their apparent risk for being mistreated.

Only if you’re satisfied that your stock count plan is including all the goods at least once a year, the ones more prone to misstatement are counted more often and you’re certain that people doing the count, are equally qualified, careful and professional, you can consider not doing the full stock count.

Owning inventory means that you need to count for it – both to ensure that it’s really there physically and also that what’s physically existing, is also accounted on the inventory ledger and hence also on the balance sheet.
