System, system, system

Just recently I had an opportunity to look into detail of an accounting system. Not software, but the actual system when it comes to managing paperworks, invoices, bank extracts etc. There was a system and I was assured I would be able to find everything I needed with one specific number. Needless to say I was happy imagining I would only need an hour for the job in hand. 

However, as it turned out, there was a system of just piling invoices into a big folder, taking them out as needed and putting back in. Yes, all the specific month’s invoices were there with no specific order. There were hundreds of them obviously and although I was assured they’re ordered by dates, it wasn’t so. Not by entry numbers, not by suppliers, not by dates, not by accounts even, no system whatsoever.

I know I said it a thousand times in here, in my work and so on – have a system in your accounting when it comes to paperworks if you ever want to find anything, if you want efficiency and quality. Without a system there’s no way you can achieve that and even if you do, it comes with a create cost, i.e. excessive time wasted.
